Firm Administrator - Litigation Law Firm

A well-established litigation law firm is seeking an experienced Firm Administrator to oversee daily operations, personnel management, and business functions. This role works closely with firm leadership to support short- and long-term goals, ensure operational efficiency, and maintain compliance with firm policies and procedures. The ideal candidate is a confident leader with strong organizational skills, sound judgment, and experience managing professional staff in a law firm or similar environment.
Key Responsibilities
* Oversee day-to-day firm operations and supervise all employees
* Manage recruiting efforts and assess ongoing staffing needs
* Maintain employee handbook and ensure compliance with applicable regulations
* Oversee employee onboarding, offboarding, performance reviews, and personnel files
* Coordinate employee schedules and review timecards and overtime
* Serve as liaison with business insurers and outside vendors
* Assist attorneys with renewal and update filings with the State Bar of California and Secretary of State
* Maintain current firm-wide case lists
* Plan firm events and coordinate participation in sponsored events
* Supervise and oversee office administration, including oversight of the Beverly Hills office
Qualifications
* Minimum of 5 years of office management experience required
* At least 2 years of experience in an HR assistant or similar human resources role
* Strong leadership, communication, and people management skills
* Excellent organizational skills and attention to detail
* Ability to maintain confidentiality and exercise discretion and sound judgment
* Proficiency with Microsoft Office Suite and legal software
* Working knowledge of litigation processes, terminology, and workflow preferred
* High school diploma required; bachelor's degree preferred
* Prior law firm experience is a plus but not required
Compensation & Benefits
* Salary range: $150,000-$175,000 annually
